Fall Assembly

Oct 6, 7, and 8 2006

 

At the Spring 2006 Assembly, attendees were divided into 6 subgroups.  Each subgroup was given a set of 3 questions to take back to their respective homegroups for discussion.  Each individual was instructed to return to the fall Assembly with feedback for compilation.  Below are the results.

 

Subgroup 1.  District Representatives Questions and Responses

 

Question: What can our District do to support new groups?

Responses:   Get long timer Group Representatives and District Representatives to visit the meeting.

New Group packets with cover letter.

GR orientation at District Meeting

 

Question: Do the groups in our District have beginner meetings?

Response: Yes

 

Question: How can we encourage all groups to elect and support a GR?

Responses:   Shorter term for Group Representatives.

DR write column in District newsletter.

DR’s, Officers and Coordinators visit groups.

 

 

Subgroup 2.  Area Information Service Liaisons & Area Coordinators Questions and Responses

 

Question: Do we have an Answering Service? What steps do we need to take to insure that everyone who calls our Answering Service receives a warm, live response or a prompt return call?

Responses:   Voice Mail: each group takes it for one month or voice system with callbacks.

Paid Professional Service: Professional company to answer calls

800# with voice mail in Spanish and English

 

Question: How do we communicate to the groups we serve?  Is our newsletter exciting and informative?

Responses:   Newsletter

Website without names and addresses

 

Question: What can our District do to support new groups?

Responses:   Create a welcome packet for all new groups. Include in the packet: a hand written welcome to our District, a Where n When, Newsletter and all District Info.

Fellowship with Food

Show enthusiasm about involvement in District.

 


Subgroups 3 – 6: GROUP REPRESENTATIVES

 

Subgroup 3:  Group Representatives from DISTRICTS 1, 2, and 3 Questions and Responses

 

Question: How can we welcome newcomers?

Responses:   Make Newcomer packet available

Make eye contact and smile as they come in

Reach out and call

 

Question: Do we have a GR, alt GR? If we do, how can we support these trusted servants? If not, what can we do to fill this void?

Responses:   Have meetings on service

Take newcomers to district meetings

Have an alternate

 

Question: What can we do to ensure every member subscribe to the Forum?

Responses:   Have a meeting from material in the Forum

Donate old Forums

Two-minute discussion about the forum by the GR

 

 

 

Subgroup 4:  Group Representatives from DISTRICTS 4, 5, and 6 Questions and Responses

 

Question: How can we welcome newcomers?

Responses:   Have greeters come early to greet newcomers at the door.

Hand out candy kisses, newcomer packets, meeting list, and phone list.

Stay after the meeting to talk one on one and/or suggest going for lunch/coffee after the meeting.

 

Question: Do we have a GR, alt GR? If we do, how can we support these trusted servants? If not, what can we do to fill this void?

Responses:   Be enthusiastic.  Support financially and be respectful when GR is giving reports.

Invite other members of the group to go to District/Assembly meeting “Get in the Car.”

Have meetings on service.

 

Question: What can we do to ensure every member subscribe to the Forum?

Responses:   Have a raffle in the meeting.

Have subscription forms available in the meeting.

Suggest members write articles and use round table topics for meeting topics.

 

 

 

Subgroup 5:  Group Representatives from DISTRICTS 7, 8, and 9 Questions and Responses

 

Question: How can we welcome newcomers?

Responses:   Suggest they go to a Beginners Meeting

Read the Newcomers Welcome

Chairman comment: Is this still available from WSO?

Follow up information: In the 2004 Conference Summary, pages 13 and 14, it does say that the Policy Committee affirmed Al-Anon would have only one "Welcome" and confirmed Group Services Departments removal of the "Newcomers Welcome" from the Group Binder (M59 and M60).  Some groups still choose to read the Newcomers Welcome.

Give them a Newcomers packet.

Responses:   Have a fiscally responsible group

Listen to the GR report

Participate in activities to support the GR at District

 

Question: What can we do to ensure every member subscribe to the Forum?

Responses:   Hold a Meeting on the Forum

Pass the subscription form out at the meeting

Put an old copy of the Forum in the newcomer packet

 

 

 

Subgroup 6:  Group Representatives from Districts 10, 11, and 12 Questions and Responses

 

Question: How can we welcome newcomers?

Responses:   Have newcomer packets available

Talk to Newcomers after the meeting

Have Newcomer Greeter at each meeting

 

Question: Do we have a GR, alt GR? If we do, how can we support these trusted servants? If not, what can we do to fill this void?

Responses:   Encourage them to attend District Meetings and Assembly, give them financial support and go with.  Groups should liten to their reports with respect.

Offer to be a service sponsor

Provide them with free service manual and acknowledge them at meetings.

 

Question: What can we do to ensure every member subscribe to the Forum?

Responses:   Have meetings based on the Forum for members and professionals at designated meetings on specific days.  Explain uses (meeting material, contact with professional).

Encourage subscriptions and have order forms, sharing sheets, meeting information and copies of Forum.

Have a lending library and give old copies to jail meetings
